Tender document analysis and pricing support system for an industrial manufacturer
Requests for quotation arrived as technical specifications running 20 to 60 pages. Sales engineers read every document end to end and pulled out product codes, tolerances and quantities by hand. A single quote took around two days; in busy periods requests queued up and some were lost to expiry.
We built a document analysis layer trained on the company's own quotation archive and the vocabulary of its industry. An incoming specification is parsed automatically: product codes, quantities and technical requirements are extracted and matched against comparable past quotes. The system does not decide — it puts a pre-filled draft and a justified price range in front of the engineer. Final approval always stays with a person.
Quote preparation fell from around two days to 3.5 hours. The backlog in busy periods disappeared and quotes lost to expiry went to zero. Engineers moved their time from scanning documents to pricing strategy.
The system doesn't decide for us. It does the two days of reading. We still make the call, just much faster.
