The Challenge
With a portfolio of 140 clients, filing season meant drowning in manual reminder emails. 41% of clients delivered documents late, creating heavy overtime for the team and real exposure to penalties. The whole system ran on somebody remembering.
What We Built
The tax calendar and client data moved into Supabase. Thirty, fourteen and three days before each deadline, every client gets a personalised email and SMS automatically. Each message carries a secure upload link, and uploaded documents flow straight into the DATEV accounting system.
The Result
Late document delivery fell from 41% to 6%, putting on-time delivery at 94%. Overtime cost dropped €5,100 a month. In the year-end client survey the practice scored 9.2 out of 10.
Filing season isn't stressful any more. The system does the remembering, clients send things on time, and my team finally leaves without doing overtime.
